The work behind the results.

A representative look at the engagements Kirby & Co takes on — fractional leadership, contract oversight, and vendor transitions for organizations with important work to manage. Client identities are withheld by design.

Engagement types

How organizations bring us in.

01

Regional healthcare organization

Fractional Operations Leadership

  • Contract oversight
  • Performance reporting
  • Stakeholder coordination

The situation

A multi-site healthcare organization was managing a complex service contract with inconsistent performance reporting, unclear escalation paths, and growing friction between internal teams and the vendor.

The approach

Kirby & Co embedded as fractional operations lead — establishing a weekly operating cadence, rebuilding the performance reporting structure, and creating a single point of accountability for contract deliverables and issue resolution.

The outcome

Reporting moved from ad hoc to a standing monthly performance package. Open issues were triaged and resolved on a defined timeline, and leadership regained visibility into contract performance for the first time.

Contract Implementation & Oversight

  • Implementation
  • Compliance
  • Process design

The situation

A growing operation had won new contracted work but lacked the internal structure to implement it — scope definitions were loose, documentation was inconsistent, and compliance requirements were tracked informally.

The approach

Kirby & Co led implementation end to end: defining scope and service standards, standing up documentation and compliance tracking, and coordinating between the client's teams and the contracting organization through ramp-up.

The outcome

The contract launched on schedule with a complete documentation trail. Compliance tracking moved into a repeatable process owned by the internal team, with Kirby & Co transitioning to an advisory role.

Vendor & Procurement Transition

  • Sourcing & evaluation
  • Transition management
  • Renegotiation

The situation

An organization dependent on several key vendors faced rising costs and declining service levels, but had no structured process for evaluating alternatives or managing a transition without disrupting operations.

The approach

Kirby & Co ran a structured sourcing and evaluation process, developed clear scopes of work, and managed onboarding of new partners — sequencing the transition so service continuity was never at risk.

The outcome

The organization consolidated to accountable vendors under stronger agreements, with defined performance expectations and a renewal process that no longer starts from scratch each cycle.

Agentic AI & Vendor Management

  • Agentic AI workflows
  • Vendor scorecards
  • Automation strategy

The situation

A multi-vendor operation was drowning in manual coordination — vendor performance data lived in inboxes and spreadsheets, follow-ups depended on memory, and leadership had no real-time view of which partners were meeting expectations.

The approach

Kirby & Co designed and implemented an agentic AI workflow that consolidated vendor communications, scorecarded performance against contract terms, and flagged risks and renewal deadlines automatically — paired with a clear vendor governance structure the internal team could own.

The outcome

Vendor oversight shifted from reactive to proactive. Automated agents handle routine tracking and escalation, the team reviews a single performance dashboard, and renewal decisions are now made on data rather than anecdotes.

Client names and identifying details are intentionally withheld. The organizations we serve trust us with sensitive operational work — and that discretion extends to how we talk about it. References are available during contract negotiation.
